Promote Positive Customer Service through out the repair process. Build and maintain relationships with Insurance Personnel including adjusters and agents. Negotiate with insurance adjusters in a professional manner and determine Estimated Completion Dates. Oversee maintenance and protection of shop equipment as well as oversee safety procedures. Work with managers in other departments and work with accounting dept with billings and repair order closures ensuring everything is closed and updated on a timely basis. Job Description The Operations Manager will provide management and coaching support to all departments within the collision center. The Operations Manager will assume the responsibility for overseeing the completion of all job functions, according to shop procedures, in the absence of any subordinate position within the repair center. Responsibilities -Oversee all repair center and office personnel and operations daily.-Oversee and support staff in maintaining at least a 70% estimate capture ratio.-Advocate and ensure the promotion of sales add-ons and processing of supplements.-Develop regular action plans with the staff to improve sales volume and shop profits.-Pursue and track potential business accounts by calling on and/or entertaining clients.-Sales contacts should be made on a weekly basis.-Establish and maintain professional relationships with insurance appraisers.-All add-ons will be completed before the vehicle is delivered.-All estimates that are not captured will be followed up by phone and letter within 4 days.-All customers will be given notice of any delays that may prevent the vehicle from being completed on the target date.-Every customer will be notified within one hour after completion of the vehicle.-Review creative ideas and suggestions submitted by team member.-Customers and employees will be dealt with professionally and will be made to feel important.-Handle all personnel matters discreetly, professionally, and in private with all team members.-Interaction with all levels of shop team members, corporate management and vendors.-Oversee daily production meeting if a Production Manager is not on staff.-Review and update vehicle production plan daily, discussing priority vehicles with CSS and Production Manager before 8:00 a.m.-All returns for incorrect or unnecessary parts will be made within one week and will be properly documented.-Follow all maintenance schedules to ensure minimal equipment failure.-Monitor inventory supplies.-Monitor the implementation and training of all safety procedures and programs outlined in the Safety Manual.-Supervise the disposal of hazardous waste generated through the maintenance of proper documentation and record keeping.-Conduct annual team member performance appraisals.-Strive to meet required standards on the monthly Repair Center Operations Evaluation and complete the list of recommendations from Vice President of Operations.-Submit accurate weekly reports - Sales Journal, Profit Ability Report, CSI data, and Payroll both hourly and flagged.-Review monthly financial statements to maintain sales mix, gross margins, cost controls, and budget requirements.-Conduct/monitor the implementation and training of all Quality Assurance procedures.-Maintain good customer relations by following up on customer hot sheets and updating the customers on the progress of the repair process. Qualifications Education: College DegreeCompetencies/Skills: Knowledge of auto body estimating. Knowledge of one or more computer estimating software packages. Excellent sales abilities; Knowledge of DRP procedures applicable to this repair center location. Ability to interact with all levels of personnel in the repair center and Corporate.
